FLSW Event Support
The Learned Society of Wales offers FLSW Event Support to fund, promote or support events that our Fellows are involved in organising.
If you are a Fellow and you are planning an event that will contribute to the promotion and development of Wales’ research and innovation community, you are eligible to apply for LSW support.
Who can apply?
Applications are open to all current Fellows of the Learned Society of Wales. As a Fellow, you must apply on behalf of an institution, business or other organisation that will be hosting the proposed event – we cannot provide support for activities that are organised by an individual.
What support can be provided?
We offer 4 types of support – you may apply for one or all of these depending on what your event would benefit from:
- Funding. We have two funding streams – one each for Humanities, Arts & Social Sciences (HASS) and Science, Technology, Engineering, Mathematics and Medicine (STEMM) focused events. Applicants may apply for between £250 to £1,000 per event.
- Promotion. We are able to promote events using (as appropriate) social media, the Fellows’ bulletin, our website and our external newsletter. We are also able to share any recordings post-event.
- Online hosting. We have a paid Zoom package and, in some cases, will be able to help partners to host events if they are unable to do so themselves.
- In-kind support by staff. In some cases, we will offer additional support for events that make a particularly strong contribution to our strategic priorities. Depending on what is appropriate for the individual event, this may include support for planning, event staffing, reporting or linked policy work.
What kind of activities are supported?
We can support events that will contribute to the promotion and development of Wales’ research and innovation community. These events may be in person or online and include; lectures , conferences and symposia, workshops, panel discussions and roundtables, public engagement events, e.g. festivals and exhibitions and training sessions.
Your event should take place within 12 months from the date you receive confirmation of LSW support. Please choose the application deadline that best fits the date of your event.
Any exclusions are listed in the full FLSW Event Support Policy.
When can I apply?
This timeline gives an overview of when your application needs to be submitted and when you will hear the decision. Applications must be submitted by midnight on each application deadline.
What is the decision making process?
All applications will be assessed against the following criteria.
You will find more information explaining each of these criteria in the application form.
- LSW Mission and Aims– Demonstrate how your event will support our mission and at least one of our strategic aims.
- Accessibility– Demonstrate how your event will be accessible
- Diversity- Demonstrate how you will actively seek a diverse range of people to engage with.
- Impact – Demonstrate how you plan to measure the impact of this event
- Welsh context – Demonstrate how your event will contribute to the promotion and development of Wales’ research and innovation community.
In addition, applications for funding will also be scored against:
- Value for Money – Demonstrate how you are ensuring the event is providing value for money
Applicants are asked to address each of these criteria in 250 words or less on the application form – the detail provided may be commensurate with the amount of support you are requesting and in all cases, we urge you to keep your responses brief and to the point.
If you wish to create a draft of your answers before completing the online application form, you can access a word version here.
Responsibilities of successful applicants:
Should your application be successful, we will work with you to provide the support agreed and in return, we ask that your event/organisers:
- Comply with your organisation’s Welsh language standards
- Acknowledge the LSW’s support in your publicity materials
- Provide the LSW with content that we can use to help promote the event (where relevant)
- Invites at least one representative of LSW to attend the event where relevant
- Shares content that LSW can use for promotion after the event e.g. photos
- Collects and provides impact data post-event
- Submit invoices within 3 months of the event (when funding has been granted)
If you have been granted funding towards your event, we expect to be invoiced within three months of the date of the event. In addition, please provide a short update on the event and share photos/data where relevant. If the activity resulted in a smaller spend than anticipated we expect to be invoiced accordingly.
If your organisation does not have the funds available to invoice us retrospectively, we will work with you to agree an alternative payment schedule.
Further detail of these requirements are listed in the full FLSW Event Support Policy.
